Staff Mobility for Training (STT)

Within the current edition of the Erasmus+ Programme administration staff exchanges can only be made at:

-institutions that have an ECHE (Erasmus Charter for Higher Education) valid for a given academic year
-any public or private organization active in the labour market or active in the field of education, training and youth with an Erasmus Card, e.g. public or private small, medium or large enterprise, public body at the local, regional or national level, chambers of commerce, crafts, professional associations and trade unions, research institute, foundation, school, other educational institutions, profit organizations such as associations, non-governmental organizations, etc.

Employees of academic staff, central and departmental administration, scientific and technical staff, as well as librarians and lecturers may apply for a trip for training purposes.

The purpose of the mobility is to participate in training to improve qualifications related to the nature of work performed at the home university.

- The purpose of the mobility is to participate in training, which has a specifically defined program for each day of training, and this program shows that the purpose of participating in the training is to improve the employee's competencies;
- Participation in the conference is not allowed within STT mobility;
- The main purpose of the mobility cannot be to conduct the negotiations on the principles of cooperation with the partner university;
- The main purpose of entry cannot be to monitor the progress of students staying at a foreign university;
- Only one type of contract with a participant can be implemented at one time (STA/STT).

Mobilities for teaching and mobilities for training within the KA 131-HED Erasmus+ Programme Action can last between 2 and 5 days (stay at the partner institution, excluding travel days).

An employee traveling within the Erasmus+ Programme receives individual financial support paid by a financial agreement signed between him/her and Wrocław University of Science and Technology. The amount of the grant paid from the Programme is calculated based on the real number of days of stay at the receiving institution.

Within this Action, costs of travel are calculated according to rates determined by the European Commission, based on the distance calculator.

Qualification rules

  1. Qualification of employees for training mobilities is run throughout the academic year until funds allocated for this kind of mobilities are exhausted.
  2. In the case of training mobilities, priority is given to administrative staff and faculty coordinators of international exchange. Teaching staff can only apply for training mobilities in special, justified cases.
  3. Employee exchanges can only be made with institutions that have an ECHE (Erasmus Charter for Higher Education) valid for a given academic year or entities that can be defined as an enterprise. Exchanges cannot be made to EU institutions or organizations that manage EU programmes.
  4. The objective of the mobility is to raise the employee’s professional qualifications by his/her participation in training.
  5. Before an employee goes to a partner institution, the parties agree on the training programme at the partner institution - Mobility Agreement - Staff Mobility for Training). The required elements of the training programme include detailed objectives, contents, and the expected results.
  6. The grant aims to co-finance the additional stay costs at the receiving institution (increased costs of maintenance abroad, additional insurance, and linguistic preparation). The employee also receives a co-financing of travel costs in the form of a lump sum determined by the European Commission, depending on the distance between the seat of the University and the destination (distance calculator).
  7. To qualify for training mobility, an employee needs to have the Mobility Agreement – Staff Mobility for Training accepted by all parties, as well as the Grant Application accepted by the Faculty Coordinator, head of the work unit, and Vice-Rector for Cooperation.
  8. An obligatory prerequisite to apply for the grant is to file the originals of qualification documents with the required signatures no later than 2 weeks before the planned mobility. The Mobility Agreement – Staff Mobility for Training may be filed in the form of a scan or fax, provided that it has all the necessary signatures.
  9. The decision on awarding the grant and its amount is made by the Vice-Rector for Cooperation based on the funds available, determined in the agreement between Wrocław University of Science and Technology and the Foundation for the Development of the Education System (FRSE).
  10. To allow as many people as possible to benefit from the programme, junior candidates and employees applying for mobility for the first time will be given priority in the qualification.
  11. In the case of a Faculty Coordinator going for mobility, the document referred to in item 5 should be signed by the appropriate Faculty Dean and Vice-Rector for Cooperation.
  12. The minimum length of stay of an employee at the partner institution for which the grant is awarded is 2 days. Travel days are not included in the count. During the stay at the receiving institution, the employee is obliged to take part in the training in the number of hours that corresponds to the standard working hours at the University.
  13. Each employee qualified for training mobility within the Erasmus+ Programme is obliged to notify the International Relations Office, Division of International Business Travels, by Circular Letter #19/2019.
  14. An agreement will be concluded with each employee qualified for an Erasmus+ Programme mobility.
  15. The grant may be paid to an employee only if he/she has accepted all the conditions of the agreement and signed the document before the start of the mobility. The payment of the grant may be made no earlier than 30 days before the planned start of the mobility and no later than on the departure day.
  16. To settle the mobility, one has to submit the original document confirming one’s stay at the receiving institution within a timeframe specified in the Agreement. The certificate must also contain information on the completion of the training (the number of hours of training and its form – training course, work shadowing, International Week, etc.) The certificate should be drawn up on the receiving institution’s letterhead paper and signed by a person responsible for the training programme.
  17. After returning from the mobility, an employee submits a report in the form of an online survey, available in the European Commission’s Mobility Tool. Login details are sent to the employee’s business e-mail address.
  18. To be able to apply for another Erasmus+ Programme mobility, one has to settle all previous Erasmus+ Programme mobilities.
  19. An employee should have insurance for the period of travel and stay at the partner institution (medical costs, accident insurance), by the procedure specified in Circular Letter #19/2019.
