Processing of personal data

The personal data that you provide to the Wrocław University of Science and Technology when setting up a JSOS account is necessary in order for us to be able to improve communication with you and our performance of the activities related to your interest in our business and educational offer. JSOS is currently the basic tool for contacting the University by its students, study or preparatory course candidates as well as all those applying for admission to the Academic Secondary School of Wrocław University of Science and Technology.

For the purposes of setting up a JSOS account you will have to provide your full name, e-mail address and passport number. This data will not be shared with anybody by us, and it will be processed on the basis of your consent and only as long as you do not withdraw the consent. You will have the right to withdraw your consent and – if no additional circumstances occur – all information you have provided us with will be erased. Remember, however, that having done that, we will not be able to restore it.

Your consent can be withdrawn by sending a statement of consent withdrawal to the following e-mail address: pomoc+jsos@pwr.edu.pl. However, before we erase the data at your request, we will want to make sure that you are the person holding the right to do so; therefore, it would be good if you give us your phone number and thus enable such verification.

You have the right to information on the processing of your personal data by us, and you can:
- request access to your data and its rectification;
- request that your data be erased (in case of withdrawal of consent and if there is no other legal basis for its processing);
- restrict the processing of your personal data if the data is no longer necessary to us, objectionable, incorrect or kept by us unlawfully (however, you cannot restrict the necessary processing of your data done for the purposes of protection of claims or rights of other persons, or for important public reasons);
- request your personal data to be transferred in a commonly used computer-readable format – provided we process it electronically and if it is technically possible;
- object to the processing due to your special situation – provided we process the data based on our legitimate interest; and if we use the data for the purposes of direct marketing, no special situation will be required.

If you find that our processing of your personal data is in violation of the provisions of GDPR, you also have the right to lodge a complaint with the President of the Office for the Protection of Personal Data.

Recipients of personal data

The recipients of your data will be public institutions (bodies or entities) entitled to obtain the data on the basis of applicable laws and the persons employed by them. During the period of your education at the University (i.e. after your registration) the group of recipients will include also entities evaluating educational programmes, auditors and institutions supervising the implementation of various projects (if you participate in such) and entities associating students or PhD candidates (provided you join such organisations). Entities that you do your student traineeships or internships at will also be provided with the necessary information about you. If you take part in any international exchange programmes, your data will also be provided to the accepting university abroad. Also entities that provide IT, legal, insurance and financial services to the data controller can be the recipients of your data.

If you are a foreign student studying at the Wrocław University of Science and Technology on a fee-paying basis or a foreign student holding a scholarship, your data can be made available to the organisation paying the scholarship as well as authorised bodies and representative offices of the country of your origin. If your data is to be provided by us to entities from third countries (from outside the EU) or international organisations, it will be done only if there is an appropriate legal instrument ensuring an appropriate level of security, such as a decision of the European Commission. You will be entitled to receive a copy of all your personal data provided to a third country.

Additional information

1. By entering the process of admission to Wrocław University of Science and Technology, you take responsibility for the correctness of the data entered into the system, including the data relevant to the recruitment result and the decision of the recruitment committee.

2. You acknowledge that Wrocław University of Science and Technology shall in no way be liable for any false data you provide or false or incorrect statements you make.

3. You understand that the registration account in the JSOS system is the fundamental tool for collecting applicants’ personal data (later, you provide us with the required documents) and that messages sent to you via this system will be considered delivered and therefore treated as read by you.

4. You are aware of the obligation to keep your login and password secure against disclosure to third parties, and in the event of such, you are liable for the changes made in the account as its result. 

5. You understand that the mailing address provided in the "correspondence address" section is the address to which all paper correspondence from the University will be delivered, including and in particular all administrative decisions.

6. You understand that your consent to setting up an account in the JSOS system means that you accept the Privacy Policy of the Wrocław University of Science and Technology (link), so please read it first.
