Recruitment Rules for Doctoral Student Mobility under the Erasmus+ KA171 Programme (Mobility with Third Countries Not Associated with the Programme) for Academic Years 2025/2026 and 2026/2027
1. A doctoral student may participate in the exchange program more than once, subject to the provisions of point 3.
2. The minimum duration of the mobility is 3 months (90 days), and the maximum is 5 months (150 days).
3. The total maximum duration of stay on exchange during one cycle of studies is 12 months (the so-called "mobility capital"). Previous participation in Erasmus+ programmes (KA103, KA107, KA131, KA171) and Erasmus Mundus is included in the mobility capital.
4. The duration of the doctoral student’s stay is calculated with a precision of one day, based on the Certificate of Attendance.
5. Only doctoral students of the Wrocław University of Science and Technology (WrocławTech) who are registered at the WrocławTech Doctoral School and hold the status of an active student of the Doctoral School are eligible to apply for mobility under the Erasmus+ KA171 Programme.
6. The unit responsible for conducting the recruitment process for doctoral mobility under Erasmus+ KA171 is the Center for National and International Relations (IRO). The recruitment committee consists of the WrocławTech Institutional Erasmus+ Coordinator and a staff member from the Student Mobility Office.
7. The following criteria are considered when qualifying candidates for the Erasmus+ KA171 Programme
a) good academic standing,
b) proficiency in the foreign language in which the studies will be conducted,
c) a letter of recommendation from the thesis advisor (promotor).
8. Recruitment takes place from January 12th until the end of February 2026. Applications are processed on a first-come, first-served basis. The maximum number of students qualified for the Program depends on the amount of funding granted to WrocławTech in a given year by the Erasmus+ National Agency. All mobilities must be completed by July 31, 2027. Recruitment may be extended if the pool of available spots is not exhausted.
9. Qualified individuals will be added to the list of outgoing participants. If all spots are filled, a reserve list will be created. Individuals on the reserve list will be informed of any new mobility opportunities on an ongoing basis.
10. Passing the recruitment process successfully does not guarantee departure. The final condition for participation in the Program is the acceptance of the candidacy by the receiving institution.
11. Before signing the financial agreement, every candidate for an Erasmus+ grant must submit a written statement regarding past participation in Erasmus+ (KA103, KA107, KA131, KA171) or Erasmus Mundus programs, regardless of whether they received a scholarship or whether it was paid by WrocławTech or another university.
12. During the period of receiving the Erasmus+ grant, the doctoral student may not receive any other scholarship funded by European Union funds intended to cover the same costs.
13. Students entitled to receive other types of scholarships at WrocławTech (e.g., merit-based or social scholarships) retain the right to receive them.
14. The monthly amount of the Erasmus+ KA171 scholarship for the stay is 700 EUR, totaling 3,500 EUR for the maximum period of 5 months (150 days). Doctoral students receiving a social scholarship at WUST at the time of recruitment, or students with a documented disability, may receive additional "top-up" support for 250 EUR per month.
15. The amount of the travel grant (lump sum) is calculated based on the distance between the home university and the partner university (using the European Commission distance calculator: Distance Calculator).
16. Documents required during recruitment:
a) Signed application form,
b) Letter of recommendation from the thesis advisor (promotor),
b) Confirmation of proficiency in the foreign language of instruction:
- a copy of a language certificate (original must be available for inspection; lists of recognized certificates are available on the Foreign Language Center/SJO website) or
- a printout from the electronic transcript showing a grade from a language exam at a minimum level of B2E or B2.2 (levels B2+/C1+ will not be accepted).
NOTE: Individuals who passed the exam during Erasmus+ recruitment in previous years are exempt from the exam, provided they declare this when submitting the recruitment documents.
17. Only complete application sets, filled out electronically and printed double-sided, will be accepted. The full set of recruitment documents must be submitted in person during CKM office hours, by traditional mail, or via email.
18. After acceptance by the International Relations Office (CKM) and the partner university, the participant receives login credentials for the IRC system, where they must upload the required pre-departure documents:
- Application form
- Learning Agreement for Studies (LA) signed by Faculty Coordinator
- Transcript of Records (TOR)
- Certificate of student status at the Doctoral School
- Consent for the mobility from the Dean and the Thesis Advisor (Promotor)
- Health insurance (KL) and personal accident insurance (NNW)

20. All information regarding participation in the Erasmus+ Program is available on the CKM website. In cases not covered by these regulations, decisions are made by the WrocławTech Institutional Erasmus+ Coordinator.
